Front Office Coordinator

About the Role:
We are seeking a professional, organized, and customer-focused Front Office Coordinator to join our team. As the first point of contact for our clients, you will play a vital role in creating a welcoming and professional atmosphere in our office. This position requires exceptional communication skills, attention to detail, and the ability to manage confidential information with the utmost discretion.

Responsibilities:

• Greet and assist clients and visitors with warmth and professionalism
• Manage incoming calls, emails, and correspondence promptly and courteously
• Schedule and confirm client appointments and maintain the office calendar
• Support advisors and team members with administrative tasks and document preparation
• Maintain client records and sensitive information in a confidential and organized manner
• Coordinate incoming and outgoing mail and deliveries
• Ensure the reception area and conference rooms are clean, organized, and well-presented
• Assist with light office management duties as needed
• Requires the ability to become licensed in Life/Health Insurance as well as Securities License within 1 year

Qualifications:

• Associate's degree or Bachelor's degree preferred
• Previous experience in an administrative, receptionist, or customer service role (experience in a financial, legal, or professional services environment preferred)
• Strong communication and interpersonal skills
• Exceptional professionalism and polished demeanor
• High attention to detail and ability to manage multiple priorities
• Proficiency with Microsoft Office Suite (Outlook, Word, Excel) and general office technology
• Commitment to always maintaining confidentiality and discretion
